Our client, a global animation, film, and interactive company that offers film and immersive work for advertising and branded content as well as developing original IP in entertainment and digital products is looking to grow their Los Angeles, California office.
Based in the Arts District, Downtown, the new office is led by Executive Producers who oversee the output across AR, VR, web, apps and live experiences, along with a studio team that consists of production, creative, animators, illustrators, designers, and developers.
The team is looking to add an Executive Assistant to manage three Executives based in the Los Angeles office. You will have the opportunity to manage international business travel arrangements, while also compiling relevant information & material for trips. You will also act as a liaison with internal and external departments that work extensively with the executives.

What you’ll be doing:
  • Calendar management and setting up meetings for Executive team and others.  This includes booking a meeting room or venue and prepping with the necessary AV requirements and accompanying CV/resume or portfolio.
  • Working with the team on planning external meetings and events – client/agency visits, speaking events, judging and festivals. This will require liaising internally the appropriate Nexus person and externally.
  • Making travel bookings and itineraries.
  • Aiding executives in preparation for meetings and trips – helping with presentation documents and devices.
  • Supporting executives following up from meetings, including meeting reports, updating CRM, filing expenses.
  • Answering calls, greeting guests and meeting room management
  • General administrative support as and when required, including minute taking in meetings
  • Assisting executives and production with research requirements
What you bring:
  • A keen interest in animation, film, design and digital/interactive
  • A can-do, approachable, friendly, outgoing nature. Self-motivated and confident.
  • A proactive approach to all tasks with attention to detail and a willingness to learn. An ambitious and professional outlook.
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, and able to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Good working knowledge of Google Docs/Slides/Sheets/Calendars and a willingness to learn new software (eg Photoshop, Keynote, Adobe Creative Suite, etc)
  • Willingness to support the start-up needs of the growing LA office and also know you’ll be growing with it!
